FedEx Pilot History Update Portal and Pilot Onboarding

FedEx Express operates this portal to collect and process pilot candidate application data for employment evaluation, and to collect onboarding information, including a Crew ID badge photograph, from candidates who have been selected. This Privacy Policy explains what information we collect, how we use it, who has access to it, and your rights regarding your personal data.

1. Information We Collect

Information you provide directly:

• Full name and email address
• Flight hours and aviation certificates
• Employment history (most recent employer)
• Residence information (most recent address)
• FAA ATP certificate number
• First Class Medical Certificate date
• Answers to applicant acknowledgment questions
• Digital signature (typed name)

Information we collect during onboarding (selected candidates only):

• Your name, email address, phone number, candidate (Paradox) ID, and interview or class date, provided to us by FedEx Pilot Recruiting so your account can be pre-registered
• A photograph of your face and shoulders that you take with your own device for your FedEx Crew ID badge, including the original capture, the finished badge-sized image, and basic details about the device and time of capture
• Your confirmations that the photo is a current photo of you and meets the badge requirements

Information imported from your previous application:

• Flight time summary from your previous FedEx pilot application on file
• Most recent employer on file
• Most recent residence on file
• This data is imported from our applicant tracking system and displayed for your review and update

Information we do NOT collect:

• Social Security Number
• Date of Birth
• Financial information
• Biometric identifiers. Your badge photo is checked by automated software only for photo quality (for example that one face is visible, eyes are open, and the image is sharp, lit, and framed correctly). We do not use facial recognition, do not compare your photo against any other image or database, and do not create or keep a face template or other biometric identifier from it.

2. How We Use Your Information

• To evaluate your application for a pilot position at FedEx Express
• To verify your identity as a returning applicant using your Candidate ID
• To pre-populate your application with data from your previous application for your review
• To communicate with you regarding your application status
• To produce your FedEx Crew ID badge: your photo is automatically cropped and placed on a FedEx-orange background, checked for quality, reviewed by FedEx Pilot Recruiting staff, and then provided to FedEx's badge and onboarding systems
• We do not sell your information to third parties

3. How We Store Your Information

• Your data is stored securely in Google Firebase Firestore, a cloud database hosted on Google Cloud infrastructure; badge photos are stored in Google Cloud Storage in the same project and are processed by a private service running on Google Cloud
• All data is encrypted in transit using TLS and encrypted at rest using AES-256
• Data is stored on US-based servers only
• Access is restricted to authorized FedEx HR and Pilot Recruiting personnel only
• Photos are never made publicly accessible; each photo can be viewed only by you and by authorized staff

4. Data Retention

• Your application data is retained for the duration of the hiring process
• If your application is not selected, your data will be retained for up to 3 years in accordance with employment record requirements
• Badge photos: photos you take but do not choose, and photos that fail the checks, are deleted within 30 days. Your approved badge photo is kept until it has been transferred to FedEx's badge and onboarding systems and for 30 days afterwards, then deleted from this portal. If you do not join FedEx, your photos are deleted within 90 days of that decision.

5. Your Rights

• Right to access: You may request a copy of the data we hold about you
• Right to correction: You may update your information at any time through the application portal
• Right to deletion: You may request that we delete your personal data
• Right to know: You have the right to know what data we collect and how we use it
• California residents have additional rights under the California Consumer Privacy Act (CCPA)
